Some applications still require MS-DOS® file names. If you plan to share your files with a computer using a pre- Windows® 95 version of the Windows® operating system, the file name must be no more than eight characters long. Typically the file name also has an extension, consisting of a period and up to three additional characters. You may use all the letters and numbers on the keyboard plus these characters: _ ^ $ ~ ! # % & { } ( ) @ and ‘. MS-DOS® file names are not case-sensitive and must not contain spaces. Most programs assign an extension to the file name that identifies the file as being created in the program with a particular format. For example, Microsoft® Word saves files with a .doc extension. Any file name with an extension of “.doc” is assumed to be a Microsoft® Word file. Creating your own extension is usually unwise, since the program is unlikely to recognize an unusual extension and may refuse to handle your file correctly. Many programs offer a feature that saves documents at regular intervals. Check your programs’ documentation to see whether they have an automatic save feature. To save: . A file you are updating, open the program’s File menu and click Save. . A new file, choose Save As from the File menu, type a name for the file, and click OK. HINT: To make another copy of the file you are currently working with, choose Save As from the File menu and give the new file a different name. Printing your work Verify that the Windows® XP operating system is set up for your printer as described in “Setting up your printer” on page 65. TECHNICAL NOTE: You only need to set up the printer the first time you connect it. If you use more than one printer or are changing printers, you will need to set up the operating system to run with the additional printer(s). To print a file: 1 If your printer is not on, turn it on now. 2 In the File menu of your program, click Print. The program displays a Print dialog box. 3 Click OK to print. Backing up your files Backing up your files means copying individual files to media, such as CDs, or copying entire sections of your hard disk to another device, such as a tape drive. For those systems with a writable CD-ROM drive or DVDROM multi-function drive, you may back up file to a writable disc as follows: 1 To back up to a CD or other media, insert the media into the appropriate drive. 2 Click Start, then click My Computer. 3 Click the drive that contains the file you want to copy. 4 Double-click the folder that contains the file, then click the file you want to copy. HINT: You can use the Ctrl or Shift keys to select more than one file. 5 Click File, then click Send To and select the drive from the list. Restoring your work To restore information from your backup media to your hard disk, use the Restore page in the backup program.
