The System Admin Tools menu may be protected by enabling the need to enter a password to access the menu. The following options and features are accessed through the System Admin Tools menu. Some of these features have been discussed in a separate chapter: •Password Protect - enables or disables the need to enter a password to protect the System Admin Tools menu. •Department Code - enables or disables the department code. •Auxiliary Access - enables or disables the machine as a public billing machine. •Network Setup - sets the network configuration for this machine. For details, see page D.8. •Email Setup - sets the e-mail configuration for this machine. See the Facsimile User’s Guide. •Change Passcode - changes the password used to access the System Admin Tools menu. •Clear Memory - clears the machine’s memory. See the Facsimile User’s Guide. •Maintenance - provides several maintenance options. •Mailbox Setup - creates or deletes mailboxes. See the Facsimile User’s Guide. •Fax/Email Forward - sets the machine to forward fax or email messages. See the Facsimile User’s Guide. •Netscan Timeout - sets the length of time the machine waits after a job is scanned before it is deleted from the machine’s data base. See page 6.10. Password Protect The System Admin Tools options may be protected by setting this option to Yes. When this option is set to Yes, accessing the System Admin Tools will require entering the password. To enable the password required for the System Admin Tools menu: 1 Press Menu until “Sys. Admin Tools” displays on the top line. Or, press Menu and 0 using the number keypad to display “Sys. Admin Tools”. MAINTENANCE 7.12 “Password Protect” displays on the bottom line, press Enter. 2 Using the scroll buttons, select “Yes” to enable this feature and enter the password. You may use up to 4 digits for the password. If you select “No”, this feature turns off. 3 To return to the idle mode, press Stop/Clear. Department Code The department codes are a security measure, in order to track the fax usage or for accounting purpose.When department codes are enabled, for any usage the user will be prompted to enter the department code if the machine is in idle state. The machine goes to idle state once the machine timeout period has elapsed without any usage. A Department Journal can be printed that sorts all fax jobs by department. The machine timeout period of the machine can be set through the machine setup menu. For details, see “Time Out” on page 1.19. Setting the Department Codes 1 Press Menu until “Sys. Admin Tools” displays on the top line. Or, press Menu and 0 using the number keypad to display “Sys. Admin Tools”. 2 Press the scroll buttons until “Department Code” displays on the bottom line and then press Enter. 3 Enter your master code and press Enter. 4 When “Set” displays on the bottom line, press Enter. 5 Enter a department code and press Enter. You can enter a department number from 1 to 50. 6 Enter a name for the department and press Enter. 7 Enter a 5-digit password and press Enter. 8 To add another department code, repeat steps above. To return to the idle mode, press Stop/Clear. 7 MAINTENANCE 7.13 Printing the Department Codes and Journal 1 Access the Department Code menu. Follow the same procedures in the steps 1 through 2 in “Setting the Department Codes.” 2 Enter your existing master code and press Enter. 3 Press the scroll buttons until “Print” displays on the bottom line and press Enter. 4 Using the scroll buttons, select “Department Codes” or “Department Journal” and press Enter. The information report which shows all the department codes or all fax jobs sorted by departments will be printed. 5 To return to the idle mode, press Stop/Clear. Managing the Department Codes 1 Access the Department Code menu. Follow the same procedures in the steps 1 through 2 in “Setting the Department Codes.” 2 Enter your existing master code and press Enter. 3 Press the scroll buttons until “Management” displays on the bottom line and press Enter. 4 The following options are available: Department Mode: allows you to enable or disable the department code feature. Clear Department: allows you to clear the department journal or codes. You can clear all the department code or a selected department code. Change M. Code: allows you to delete or change the master code. If you want to change the master code, enter a new master code number. Auxiliary Access You can set your machine to be used as a coin machine. 7.14 MAINTENANCE 1 Press Menu until “Sys. Admin Tools” displays on the top line. Or, press Menu and 0 using the number keypad to display “Sys. Admin Tools”. 2 Press the scroll buttons until “Auxiliary Access” displays on the bottom line and then press Enter. 3 Using the scroll buttons, select “Yes” or “No.” 4 To return to the idle mode, press Stop/Clear.
